Entry policies, supplier rules and transport arrangements can change. We recheck them against your nationality, arrival method, travel dates and final route; all bookings and changes are governed by your written confirmation.

Contact Us

Share your dates, group size, budget and interests. We will first check that the route is practical, then bring together accommodation, transport, guides and experiences.

  • Provide your name exactly as shown in your passport, nationality, expected point of entry and departure city so we can check documents and transport.
  • Tell us in advance about children’s ages, dietary requirements, allergies, mobility needs and room preferences.
  • Before services are secured, you will receive a written itinerary, inclusions, price, payment schedule and applicable change and cancellation terms.

ENTRY GUIDE

Passports, Visas & Entry

China’s visa-free and transit policies depend on nationality, purpose of travel, entry point, permitted area and onward routing—not simply the length of stay.

  • Before departure, check passport validity, blank visa pages, visa or visa-free eligibility and your airline’s boarding requirements.
  • The 240-hour visa-free transit arrangement generally requires an eligible nationality, confirmed onward travel from China to a third country or region, and a ticket with a confirmed date and seat. Always use the latest official list for eligible ports and permitted areas.
  • Hotels normally complete temporary residence registration for guests. If you stay in a private home or certain homestays, registration must be completed promptly according to local rules.

BEFORE YOU GO

Before You Travel

Set up payments, connectivity and identity details before departure to make tickets, taxis, trains and hotel check-in much easier on arrival.

Payments

Alipay and WeChat Pay may accept selected international bank cards under current platform rules. Carry a physical card and a small amount of renminbi as backup.

Connectivity

Arrange roaming, an eSIM or a local SIM, and keep access to a phone number that can receive verification codes.

Transport

High-speed rail and domestic flights use real-name ticketing. Your name and document number must match your passport.

Accommodation

Confirm the hotel accepts international guests, along with room type and guest names. Allow realistic time for security and station transfers.

TRAVEL WELL

Travel Insurance & Health

Purchase insurance as soon as you pay non-refundable costs, and confirm that mainland China and your entire journey are covered.

  • Prioritise overseas medical care, emergency assistance and evacuation, luggage, delays, cancellation and trip curtailment.
  • If you plan to hike, visit high-altitude areas, cycle or join water activities, confirm they are covered by your policy.
  • Keep medication in original packaging with prescription details, and disclose medical, allergy, dietary or mobility needs when booking.
  • In mainland China, call 110 for police, 120 for an ambulance and 119 for fire services. You may also contact your guide or trip coordinator.

BOOKING PROCESS

Booking Terms

A private journey is confirmed only after we receive the deposit and traveller details and verify availability. Conversations and draft proposals do not secure services.

  1. Share your brief: Confirm dates, group size, budget, cities, accommodation and experience preferences.
  2. Written quotation: We list inclusions, exclusions, hotel standard, transport and the quotation validity period.
  3. Pay the deposit: Available services are secured after payment; bookings close to departure may require full payment.
  4. Balance and details: The balance is normally due 60 days before departure; special hotels, flights, festivals or group services may have earlier deadlines.

Check names, passport numbers, dates of birth, room types and dates before payment. Reissue or rebooking costs caused by incorrect details follow the supplier’s rules.

PAYMENT & CHANGES

Payments, Cancellations & Refunds

These are our general website terms for tailor-made travel. Each booking remains subject to its quotation and confirmation, plus any special airline, rail, hotel or activity supplier terms.

60 days or more before departureThe deposit and any non-refundable supplier costs are retained; the remaining amount paid is refunded.
30–59 days before departureCancellation fee: 50% of the total trip price. Higher actual losses for issued tickets or special services will be stated in your confirmation.
15–29 days before departureCancellation fee: 75% of the total trip price.
Within 14 days, no-show or after departureCancellation fee: 100% of the total trip price. Unused services are generally non-refundable.
  • Flights, rail tickets, cruises, limited-entry tickets, festival events and specified hotels may become non-refundable immediately after issue or confirmation.
  • All cancellations and changes must be requested in writing and are timed from receipt. We will explain any fare difference, change fee or supplier charge before processing.
  • Refundable amounts return to the original payment method after supplier reconciliation. Bank, card network and payment-platform timing and fees are outside Chinaya Tour’s control.
  • If we cannot provide a confirmed core service, we will offer a reasonable alternative, rebooking credit or refund of recoverable amounts. Applicable statutory consumer rights are not limited by this summary.

Important: special tours, holiday periods, private groups and late bookings may use different payment and cancellation schedules. Any differences will be provided in writing before payment.
